Overview

See at a glance what your partner program brings in.

The dashboard is the start page of the affiliate program: it tells you whether anything needs doing, compares the figures of a period with the period before and shows the balance of all partners. The statistics analyse the whole program over a period you choose, from the best partners to the click sources.

Marketing → Affiliate program → side menu Overview → Dashboard or Statistics

The dashboard

What does the dashboard of the affiliate program show?

A click on Marketing → Affiliate program opens the dashboard. At the top you find the status line and eight figures, below that under Current the tasks and the balance of the partners, under Partners the best partners and the partner groups. All figures cover all sales channels together: net without shipping costs in the default currency, by order date, without cancelled orders.

  • Period: This month (default), Last month, This year or Last year. It applies to the figures, what was paid out in the period, the best partners and the promotions. A running period is compared with the same span before it, for example 1 to 19 October with 1 to 19 September; a finished period with the whole period before.

  • Turnover via partners: turnover of the orders carrying the code of a partner. Below it the change in percent and the value of the comparison period (“before …”).

  • Commission: the commission of the partners for these orders. It is only booked after the waiting period, so in a running month it is smaller in relation to the turnover.

  • Orders: all orders carrying the code of a partner.

  • New customers: customers created in the period with the code of a partner.

  • Clicks: calls of partner links, counted as in the list Marketing → Clicks.

  • Conversion: the share of clicks followed by an order. The comparison is in percentage points (“pts”), so 12.7 % turning into 24.8 % is a plus of 12.2 points.

  • New partners: accepted partners who signed up in the period. The comparison is a count.

  • Program costs: the booked commission plus the discount customers received with the voucher of a partner, net. When the costs go down, the arrow points down in red.

  • Help at the top right explains on every page of the affiliate program what you see there; on the dashboard in the tabs “What does the dashboard show?”, “Figures”, “Tasks” and “Balance”.

The status line tells you whether something needs doing

At the very top one line sums up the state. Only one state applies at a time, in this order: an outdated add-on plugin before open tasks, open tasks before missing setup. The button on the right takes you straight to where things continue.

  • Green, “No open tasks”: everything is done. Below it you see when the commission sync last ran, for example “Last commission sync 5 minutes ago”; before the first run “The commission sync has not run yet”.

  • Yellow, “9 open tasks”: below it the tasks one by one, such as “2 applications, 2 code requests”. Go to the first task opens the list of the first open task.

  • Blue, “Setup incomplete”: the settings lack something the program needs, for example the account of the shop for SEPA. The card Setup (below) lists the missing items. The button opens the setup assistant.

  • Red, “1 extension needs an update”: an add-on plugin of the affiliate program, such as multi-level marketing, is older than the version that matches this affiliate program. Its features are missing until the update. The card Extensions names it, My extensions leads to the update.

Which tasks does the dashboard show?

The card Tasks shows everything that waits for a decision, each with a link to the matching list. Rows without an open task stand green and without a link, so you see at a glance that nothing is waiting there.

  • Open applications: partners waiting for approval. The link opens Partners → Applications.

  • Open code requests: partners asking for a different partner or voucher code. You decide under Partners → Code requests.

  • SEPA payouts to review and PayPal payouts to review, each with the total. The links open the review lists.

  • Payout approved, not yet transferred: approved payouts wait for a payout run, which you start in the review list for SEPA or PayPal. If there are both, the row says how many go via SEPA and how many via PayPal.

  • Payout in transfer: payouts of a started run that do not count as paid yet. The link opens the payout runs.

  • Open suspected fraud cases, marked red: order data resemble those of the partner. You decide in the fraud check.

What does the card “Setup” report?

If the configuration lacks something a switched-on part of the program needs, the card Setup appears above the tasks. It checks the configuration of all sales channels and the active flows; without a finding it stays hidden.

  • The partner program is not switched on in any active sales channel: no active sales channel with a storefront has Activate extension switched on.

  • Emails without an active flow: an email is switched on in the configuration, but its flow is deactivated or deleted. Below it the affected emails, the link opens Emails & flows.

  • SEPA payout is offered, the account of the shop is missing: without the IBAN of the shop account no SEPA file can be created.

  • PayPal payout is offered, the access data are missing: client ID or secret is empty. Set up opens the settings.

  • Open setup assistant in the head of the card starts the assistant, which asks for all items one after the other.

How much balance do the partners have open?

The card Balance of the partners shows what the shop owes the partners and what went out in the period. An order is only booked after the waiting period, so booked commission can be redeemed at once.

  • open balance of all partners: everything the partners have booked and not yet redeemed, repeated below as booked and redeemable.

  • plus preliminary: the preview of the commission for orders still in the waiting period, with their number and the waiting period in days. The preview only exists with the setting “Show turnover and commissions for non-commissionable orders”, without it the row shows “--”. It can still change until the booking, for example through a cancellation.

  • Paid out and Redeemed as voucher in the chosen period, each with the number of payouts or vouchers.

  • Next automatic payout: the date, the number of partners whose balance, rounded down to whole euros, reaches the smallest staggered amount or the minimum amount, and the total. It skips partners without complete payout details or with an open payout on that day. When it is off, the row reads “Automatic payout is switched off”; you set it up in the chapter Payout.

Which partners bring the most turnover?

Under Partners you find the five best partners of the period by turnover and how the partners spread over the active partner groups.

  • Best partners: name, partner group, number of orders, booked commission and the turnover on the right. A click on the name opens the partner.

  • All in the statistics opens the statistics on the tab “Partners & partner groups” with the same period.

  • Partner groups: name, rate and number of partners per active group, plus Without partner group. Without an active group the card reads “No active partner group yet.”

  • Promotions in the period: how many partners moved up into a higher partner group automatically in the period. Open leads to the list of partner groups.

The statistics

What do the statistics analyse?

The statistics under Overview → Statistics analyse the whole affiliate program for a period: This month and Last month by day, 12 months (default), This year and Last year by month. The Partner group narrows all tabs down to one group. The figures count like the dashboard: net without shipping costs in the default currency, by order date, without cancelled orders, for all sales channels together. Every column shows the exact figures of its day or month on hover.

The tabs at a glance:

  • Overview: totals, averages and the course of turnover, commission, orders, new customers and clicks.
  • Partners & partner groups: the ten best partners and the turnover per partner group.
  • Products & landing pages: the products with the most turnover and the target pages of the partner links.
  • Click sources: referrers, devices, UTM source and campaign.
  • Costs & payouts: commission and discount against the turnover, what was paid out and where the requests came from.
  • Network: only with the add-on plugin multi-level marketing and bookings on further levels.

Tab “Overview”: totals and course of the period

Six tiles sum up the period, below them columns show the course per day or month.

  • The statistics are in the side menu under Overview → Statistics. The dashboard opens them through “All in the statistics” with its period.

  • Partner group: empty for all partner groups, otherwise only the partners of this group.

  • Period: applies to all tabs until you change it.

  • Turnover with the average per order, Commission with its share of the turnover.

  • Orders with the average per month or day, New customers who registered with a partner code.

  • Clicks and Conversion: the share of clicks with an order, below it the number of these clicks.

  • Turnover and commission per month as a pair of columns, the commission on an axis of its own.

  • Averages: avg. order value, avg. commission per order, commission of turnover, conversion and new customers per 100 clicks. In the example €1,761.24 of commission on €43,084.35 of turnover are 4.1 %.

  • Orders and new customers as well as Clicks with the clicks followed by an order.

Tab “Partners & partner groups”: who brings the most

The ten best partners of the period, by turnover, commission, clicks or new customers, next to them the turnover per partner group. All partners are in the partner list.

  • Turnover, Commission, Clicks, New customers: what the list is sorted by. With amounts the number of orders stands next to it, with clicks and customers the conversion.

  • Below every name you see the partner group and the partner code, plus the discount customers received with the partner voucher of this partner.

  • Partner groups: turnover in the period per group with the number of partners and orders, including Without partner group.

Tab “Products & landing pages”: what referred customers buy

Which products are sold through partners and on which pages the partner links land.

  • Top products: net turnover from referred orders without cancellations, with product number and quantity sold. A click opens the product.

  • Top landing pages: clicks and conversion per target page. This shows whether links to a category or a single product sell better than links to the home page.

  • Unknown: clicks without a recognised target page.

Tab “Click sources”: where the clicks come from

Where the visitors who open a partner link come from, each with the conversion. The data come from click tracking.

  • Referrer: clicks and conversion per page of origin. Direct (no referrer) are calls without an origin, for example from an app, an email or a QR code.

  • Every row names the domain, such as instagram.com or the blog of a partner, with the number of clicks and the share with an order.

  • Devices: mobile, desktop and tablet, each with clicks and conversion.

  • UTM source and campaign: clicks by utm_source with utm_campaign. Without UTM are links without utm_source, such as the plain partner link.

  • If a partner adds for example &utm_source=instagram&utm_campaign=reel_laufen to the link, this campaign gets a row of its own.

Tab “Costs & payouts”: what the program costs

At the top the costs of the program against the turnover, below that what was paid out via SEPA and PayPal and redeemed as vouchers.

  • Commission with its share of the turnover.

  • Partner voucher discount: what customers saved with the vouchers of the partners, with the number of orders.

  • Costs in total (commission and discount) and Costs of turnover: in the example €3,045.84 on €43,084.35 of turnover, so 7.1 %. Below them the costs per month or per day.

  • Paid out, of which via SEPA, of which via PayPal and Redeemed as voucher, each with the count. The columns “Per month” count by the day of payment or redemption.

  • Origin of the requests by day of request: Requested by the partner, Created automatically by the automatic payout, Via the API, plus the number of rejected requests.

Common questions

Which sales channels do the dashboard figures cover?

All of them together. Dashboard and statistics count across all sales channels, net without shipping costs in the default currency, by order date and without cancelled orders.

Why is the commission of the running month so small compared with the turnover?

Turnover counts from the order date, commission only once the order is booked after the waiting period, 14 days by default. Orders of the last days are therefore already in the turnover, but their commission is not yet. The preliminary commission in the balance shows what is still to come.

What does the dashboard compare a running month with?

With the same span of the month before, for example 1 to 19 October with 1 to 19 September. A finished period is compared with the whole period before.

What counts as program costs?

The booked commission of all partners and the discount customers received with the partner vouchers, both net. The tab Costs and payouts of the statistics shows both parts separately and against the turnover.

What does “plus preliminary” mean in the balance of the partners?

It is the preview of the commission for orders still in the waiting period. It is only stored when the setting “Show turnover and commissions for non-commissionable orders” is on, otherwise the row shows “--”. It can change until the booking.

Do cancelled orders count in the statistics?

No. Cancelled orders are left out of turnover, orders and commission. If commission was already booked for an order, the affiliate program offsets it with a negative manual booking, as long as the settlement of cancelled orders is on.

Can I export the figures?

Yes. Four export profiles in Shopware's import/export deliver partners, commission bookings, redemptions and payouts as well as clicks as CSV files. Described on shop-affiliate.de/en/manual/export-and-api.
